GENERAL BOOKING CONDITIONS

WHO IS RESPONSIBLE FOR OUR TOUR PACKAGES?

The responsible tour operator of the the travel packages on our web site is Nordic Puro, a brand of TTE – The Travel Experience Oy, the tour operator, which has, according to Finnish law, deposited a bond to the Finnish Competition and Consumer Authority (KKV), which safeguards all pre-payments made by our public customers.

NORDIC PURO TRAVEL PACKAGE SPECIAL TERMS

Here follows the general booking terms and conditions for the Nordic Puro brand.  Please not that each tour can have additional specific terms related to products within that tour.  When booking you will see any such additional terms.

A contract binding the passenger is created when the passenger has confirmed the booking in writing by email or by approving the booking terms online.  A contract is binding to the tour operator when the first payment requested by the tour operator has been received no later than the due date (TSI 3.1.) if the tour operator has not informed prior to receival of the payment that it is not willing to enter into a contract for the booking in question. Contracts for tours on request basis will be binding once both parties have confirmed the booking from their side.

A Nordic Puro travel package means a travel package consisting of accommodation and at least one other significant travel service (activity, transfer or event ticket) -whether pre-packaged by Nordic Puro or tailor-made to the passenger’s wishes separately. Some of the Nordic Puro packages are so-called special trips. Any special rules and conditions for these special trips are mentioned in the tour booking terms where applicable.

Nordic Puro travel packages do not include any flights unless informed otherwise in the tour inclusions. Passengers book their own flights to the destination.

The Act on Travel Service Combinations and the General Travel Package Terms (YME), which entered into force on 1 July 2018, apply to Nordic Puro travel packages. In addition, the special terms and special conditions of Nordic Puro apply to all Nordic Puro travel packages.

Services purchased separately, accommodation alone or any other individual travel service do not constitute a travel package.

1. TERMS OF PAYMENT
When a trip is booked at least 45 days before departure, a booking fee for the Nordic Puro package is a minimum 300 € per passenger depending on the tour specifications. For certain trips (Winter Lapland, special events or festivals etc. where free cancellation is not possible) the booking fee can be higher and it is informed at time of booking in the booking conditions. In the online store, the booking fee is paid at the time of booking. The booking fee for a trip booked by email must be paid within three (3) days of booking. On some trips, the price of the entire trip is due immediately. Such a policy will be announced when booking the trip.

The booking fee will be paid according to the information on the travel confirmation securely by credit card (or in some cases by bank transfer). The final payment can be paid by bank transfer or by credit card.

When the trip is booked less than 45 days before departure, the full price of the trip must be paid immediately at the time of booking. In the online store, the price of the entire trip is paid at the time of booking.  The trip booked by email is paid for at the time of booking with a credit card online via our secure process, or immediately after booking by bank transfer. When paying by bank transfer, the reference number provided by us must be entered in the payment information and a receipt for the payment will be provided upon request.

2. TRAVEL CONFIRMATION & INFORMATION
The first passenger in the booking, a representative of a group of passengers, is responsible for the bookings they make and the accuracy of the information they provide. Upon receipt of the travel confirmation, the representative of the group of passengers must immediately check its correctness. The names must correspond to the details of the passport or identity card used as a travel document. Errors in travel dates, transport and accommodation information, and any additional services must be reported to the tour operator immediately. By paying the minimum booking fee, the representative of the passenger group confirms the correctness of the travel package and a binding agreement is created. Correcting errors or omissions later can incur costs.

The tour operator has the right to cancel the tour if the minimum number of participants for the tour has not been reached.

3. SERVICES INCLUDED IN THE PRICE OF THE NORDIC PURO TRAVEL PACKAGE
The tour inclusion list indicates the services included in the tour price. Any other services not listed are subject to additional fee.

The basic price of the trip is the price per passenger in a twin/double, triple or quadruple room or apartment. Up-to-date prices can be seen on www.nordicpuro.com page.

No travel insurance is included in the tour – all passengers are highly recommended to acquire a travel insurance that covers any possible accidents during activities of the tour or any cancellation fees due to passenger illness or other cause to cancel the tour after the cancellation deadline. Travel insurance for lost luggage is also highly recommended.  The tour operator cannot be held liable if passenger property is stolen during the tour.
If client misses some services booked due to for example flight delay to the destination, the passenger should claim service costs to the airline which they have booked themselves or via agent from whom the flight was purchased. Nordic Puro cannot guarantee that the services can be provided at a later time without an additional fee.

4. CHANGE OF PRICE
Prices are based on the exchange rate on the day the trip is priced. The final price may be affected by changes in exchange rates (YME 8.). When calculating the price change, the exchange rate on the pricing date of the trip and the exchange rate valid six (6) weeks before the trip are compared. Prices are valid from the moment they are announced and do not apply to previously booked trips. Nordic Puro reserves the right to change prices before the travel package agreement is concluded.

The price of the trip will be subject to all taxes that can be paid before the trip.

Nordic Puro reserves the right to increase the agreed price of the trip in accordance with Section 8 of the General Travel Package Terms.

5. OFFICE EXPENSES
Office expenses are 50 EUR per person.   See section 6 below.

6. CANCELLATION POLICY
Any cancellation made by the customer shall be deemed to take effect at the time the information is received by the tour operator during office hours (local time in Finland).
If the passenger cancels their trip, the tour operator has the right to recover the actual costs incurred costs (eg costs of booked accommodation, entrance tickets.). Admission ticket reservations are always immediately binding and cancellation costs are 100%.
Some tour services during high season periods require a pre-payment that includes accommodation costs, activities and special tickets. In this case, in case of cancellation, the tour operator will have to charge actual costs even if the tour is cancelled months ahead of arrival. These terms are confirmed at the time of booking.

The passenger has the right to cancel the tour at any time before the start of the trip. The tour operator is entitled to charge a cancellation fee as follows:
a)  Office expenses announced in advance when the tour is cancelled no later than 45 days before the tour beginning
b)  Booking fee when the tour is cancelled later than 45 days but not later than 21 days before the start of the tour.
c)  50% of the price of the tour if the tour is cancelled later than 21 days but not later than 7 days before the start of the tour
d)  75% of the price of the tour if the tour is cancelled later than 7 days but not later than 3 days before the start of the tour
e)  95% of the price of the tour if the tour is cancelled later than 3 days before the start of the tour

NOTE
If the cancellation policy of the service provider (hotels, activity operators etc) is stricter than General Travel Package conditions or Package Travel conditions, the tour operator may charge the customer, in addition to the office costs, for the actual costs incurred.
Each case of cancellation is always dealt with on a case-by-case basis. We also apply these terms to the passenger’s right to cancel travel due to force majeure and also in case of a medical certificate. Service fees and payment method surcharges (such as Credit Cards) are also non-refundable.
The customer must contact their own insurance company in order to get compensation for cancellation fees in force majeure cases. The tour operator will provide necessary receipt for costs incurred.
The Tour Operator and its Service Providers reserve the right to change or cancel timetables or contents of the programme due to unforeseen reasons such as weather conditions or similar. All tours and/or routes can be changed or cancelled at any moment during the tour to assure the safety of Customers and/or employees. In certain circumstances, the tour operator may decide, in its sole discretion, that it is necessary to cancel a confirmed Booking and make appropriate refunds. This may be for reasons where the tour operator believes in good faith, while taking the legitimate interests of all parties into account, this is necessary to avoid significant harm to service providers, customers, third parties or property, or for any of the reasons.

7. LIABILITY OF THE PASSENGER
Passengers must make sure all relevant information regarding health, special diets etc needed for providing the services of the tour is sent to the tour operator as early as possible, minimum 2 weeks prior to arrival to the destination.
The tour operator cannot guarantee availability of such special services but will forward the information to appropriate service providers.
Some activities are not recommended in case of health problems or during pregnancy. Passenger should check in advance if they apply to their condition.
When tour services start from airport the passenger is liable for informing the correct flight information to the tour operator.

The representative of the passenger group is obliged to check that Nordic Puro has appropriate contact information (mobile phone number and e-mail address) that can be reached before and during the trip. The tour operator shall not be liable for any damage and any costs that may be incurred as a result of incorrect or incomplete information provided by the passenger or a representative of the passenger group.

The passenger must take care of the necessary documents (passport, visa, vaccination certificates) needed to enter the destination.  The tour operator does not guarantee entry to the destination even if providing information on current rules set by authorities.

It is the duty of the passenger group representative to notify Nordic Puro if the travel documents have not been received by e-mail seven (7) working days prior to travel. Travel documents are not sent by post outside Finland.

The representative of the passenger group is obliged to bring the latest travel confirmation and any other travel documents for the trip (eg hotel voucher if required).

Passengers must follow all rules and regulations of the tour operator and service providers as well as local authorities and not cause any danger or disturbance to other guests with their behaviour. Service providers have the right to stop the service if passengers do not follow given safety and other rules. Passengers are liable for any damage caused to facilities and other guests.
As of 20 August 2018, the passenger group representative is obliged to ensure that the reservation has at least one adult passenger.

8. LIABILITY OF THE TOUR OPERATOR
The tour operator follows the rules and regulations of The Act on Travel Service Combinations and the General Travel Package Terms (YME), which entered into force on 1 July 2018.
The tour operator is liable for providing correct information on the travel services of the travel package. Deposits are covered by financial guarantee (2799/08/Mj) deposited to the Finnish Competition and Consumer Authority.
The tour operator is liable to assist and help the passengers in case of an emergency. Any incurred costs will be charged to the passenger, who should claim the costs from their own travel insurance.

9. COMPLAINTS
Any complaints for the services provided by the tour operator and its partners should be informed to tour operator as soon as possible during the tour. All requests for compensation must be sent to tour operator within 2 months of the travel.

10. PRIVACY POLICY
Our collection and use of personal information in connection with your access to and use of the is website is described in our Privacy Policy.

11. INTELLECTUAL PROPERTY RIGHTS
Unless stated otherwise, the intellectual property rights (including the copyrights) of the website and contents and information of and material on our website are owned by Nordic Puro / TTE – The Travel Experience or individual service providers. Intellectual property rights in connection with the website that may be owned by third parties shall at all times remain with such third-party owners.

10. APPLICABLE LAW AND JURISDICTION
These Booking Terms and Conditions shall be governed by and construed in accordance with Finnish Law. The Finnish Courts shall have the exclusive jurisdiction to settle any dispute, controversy claim related to such a demand.
